  1. General

    Ad Hoc Data has been one of the biggest players in marketing and sales information about Dutch companies for many years. We play an important role for many organisations in the Netherlands and Belgium in supporting B2B marketing and sales campaigns. But also in analysing target groups and keeping carefully constructed leadlists up to date. We do this by means of a very complete and up-to-date dataset of companies and organisations, excellent personal service and very user-friendly tools. And all at the very best price. Thus, we ensure that reliable, up-to-date and high-quality leads are available to everyone. From sole traders to multinationals, Ad Hoc Data offers every organisation an accessible online tool for compiling effective data sets at a fair price. We take our privacy and security responsibilities very seriously and have therefore joined the DDMA platform. For our company, obtaining the DDMA Privacy Guarantee is therefore an important confirmation of privacy-compliant business operations.     Our files are updated free of charge at the beginning of each month. This means you always have access to up-to-date data. Every month, all changes are made automatically: address changes, new registrations, processing of deregistrations and more. In our tool the Mutation indicator (1 of the standard filters) allows you to easily filter on all changes.

    After your order, you will immediately receive a confirmation e-mail with an activation link to your personal business environment. Here you can create your own password, after which you can immediately start working with your address selections.

  2. Leadlists

    To compose your target group as sharply as possible, we offer a wide range of filter options. In our selection tool, you decide which filters to apply. Basically, you always have the filters: industry, number of employees, region and more. Are you also looking for specific property filters such as area, property type, plot size? Or do you want to know the specific energy label of a property? The property package provides you with these filters.

    This can be done very simply. After making your address selection using the ‘Export’ instead of continuing through the ‘Export and save’ you can also choose ‘Step back’. You then keep the previously made selection and can still adjust your filters. Do you want to make the selection again and remove the chosen filters? Then use the ‘Reset’.

    Yes, for each target group selection you make, we offer the ability to save the search filters and reopen them at a later time. You can do this by naming the selection before exporting. The search queries can then be found in your dashboard under the heading ‘saved search queries’.

    If you cannot find a specific company, there may be several reasons. It could be that this company is registered in the Trade Register under a different company name. For example, our sister company Receptionist-NEXT is registered under the name Ad Hoc Detachment. Also, filters may have been applied, leaving the company out of the selection. Such as number of employees or province, for example. Make sure you have the appropriate filters on or off.

    Selecting the correct industries can be done in several ways: by entering a keyword in the input field, by entering the SBI code, by searching in the pulldown with the overview of branches. Industry not found? Feel free to contact us or take a look at our Tips & Tricks.

    Legal form can be an interesting filter when there is a difference in legislation regarding customer approach. This applies, for example, to the Call-me-not Register, which lists only organizations that are considered a ‘private individual’: sole proprietorships, vof’s, maatschappen en limited partnerships.

    It is good to realize that the contacts provided are always the longest listed persons within an organization. This means that this person may not always still be active within the organization. Furthermore, in the case of larger organizations, this contact person will often not be operationally involved in all processes, unlike smaller organizations often are.

    You can select by all municipalities in the Netherlands.

    In addition to a regional selection option by city, zip code area or municipality, you can choose to make your selection based on Cebuco-, COROP-, EGG- of Nielsengebieden.

    There are several options with the Location Filters. The fastest way is to select by the provinces of North Holland, South Holland and Utrecht. This is the same as the combination Nielsen: Major and West. A more accurate way is to select the following COROP areas: Agglomeratie Haarlem, Agglomeratie Leiden & Bollenstreek, agglomeratie ’s-Gravenhage, Delft & Westland, Groot-Amsterdam, Groot-Rijnmond, Gooi en Vechtstreek, IJmond, Utrecht, Zaanstreek.

    Organizations with SBI code 6420 are Financial holdings. These are often non-economic acting bodies, generally less accessible and less relevant to marketing and sales campaigns. It covers about 360,000 organizations. Generally, there are one or more operating companies under a holding company, which are often more relevant for commercial purposes.

    Economically active implies that the organization employs at least one employee for at least 15 hours per week. In the selection tool, this refers to an indicator based on various characteristics that make it plausible whether or not an organization is economically active.

    This is an indicator based on various characteristics that make it plausible whether or not an organization is located in a so-called multi-tenant business building. It concerns organizations with an address where at least 4 organizations are registered (financial are excluded).

    Some of the organizations contain a Non-mailing Indicator (found in your selection in the NMI column). These organizations have indicated to the trade register that they do not wish physical mail or door-to-door visits at the registered address. It is important to respect their wishes. You can easily filter out the NMI’s in our database to ensure you get the correct file.

    The filter ‘suspension pronounced’, means that a so-called suspension of payment binding has been pronounced. This data comes from the court. Thus, the ruling has not been revoked at any later time. To the extent that suspension judgments have been revoked, these organizations are not included with this status with the filter ‘suspension pronounced’. The filter ‘bankruptcy pronounced’, means that a bankruptcy has been pronounced binding. This information comes from the court. Thus, the ruling has not been withdrawn at any later time. To the extent that bankruptcy judgments have been revoked, these organizations are not included with this status with the filter ‘bankruptcy pronounced’.

  3. Order

    It varies based on the quantity of business addresses and the type of information you require in your address files. View subscriptions-overview for detailed information about all our subscription options.

    You can start using the database starting from €55,00 per month. You'll gain monthly access to 2,500 leads, with a complimentary database update 12 times a year. Explore all our options here. All amounts are exclusive VAT and a € 5,00 file fee.

    Absolutely, you can choose to immediately pay for the address selection you've made using the selection tool. This means you're not obtaining a license for regularly creating prospect files. However, you can always decide to do so later on.

    For both a license and a one-time address file purchase, you'll immediately get two emails after your order is placed. These include a confirmation email and an email with an activation link to access the portal. If you don't receive these emails, check your spam folder. It’s crucial to use the activation link on the same day to set up your personal account. This way, you can begin using our marketing database in just a few minutes.

  4. Technical

    You can easily retrieve your selections in Excel. To do this, click on the appropriate file and choose your download format here. Then your file in .csv format will open in Excel.

    After you make the selection, it is ready in the dashboard. From the dashboard you can directly export the last 5 selections to Excel. If you want to export a previously made selection, you can find the last 30 selections of the past month in the menu via the option “selections”. The exports are always kept for a period of 30 days.

    Once you click on the selection made to export, a pop-up appears with different download formats: Basic, Basic+Pawn and Other. You choose which format you want to use for your sales and marketing campaigns. If you have the pawn package, the Basic+Pawn format offers the most comprehensive information. For all licenses without pawn data, the Basic format is the most extensive. If you prefer to have a format from an earlier version of the selection tool, you can choose a format under the option: other.

    After downloading your selection, you can retrieve your export file in your account environment. This Excel file contains all available information of the selected companies and/or organizations. You will find an explanation of the export file here.

  5. Login

    After your registration you will receive an activation link by e-mail. With this you can log into your own account, after which you can create your own password. Your login information consists of your e-mail address and this password. Did you not see this e-mail message? You may have received the message in your spam box. Need help creating your account? Our colleagues are happy to help you on your way.

    If you have lost your password, you can recover it via ‘Forgot your password’. A temporary password will be sent to your e-mail address. When you have logged in with this password, you can create your own password within your account. Would you like to change your e-mail address? Please contact us.

  6. Privacy

    Since May 25, 2018, the new European privacy law is in force, the GDPR (General Data Protection Regulation) or in Dutch the AVG (Algemene Verordening Gegevensbescherming). This law replaces the Personal Data Protection Act (Wbp) and gives data subjects more rights when using their personal data. It obliges all companies that use personal data to ensure that all data processing processes are properly documented and comply with the rules for processing personal data. Read more about the AVG.

    Ad Hoc Data obtains its data files exclusively through approved suppliers who use official sources. We have made agreements with these suppliers regarding mutual, strict compliance with international rules for the use and sale of data. Ad Hoc Data hereby has a number of technical operations performed by recognized IT companies that are detailed in legally approved processor agreements. In doing so, we work according to the rules of privacy legislation and the advice of the DDMA (Data Driven Marketing Association) in this regard. Would you like to have your personal data removed from our database? In that case we kindly ask you to contact us. We will ask you for proof of identity and an excerpt from the Chamber of Commerce for further processing and then inform you about the follow-up procedure. See also our Privacy Statement.

    If you want to use your file to send emails, keep in mind the Spam ban. Sending e-mails with a commercial purpose is only allowed when the recipient: is an existing customer of yours (who has not opted out) or is not a customer, but has given explicit permission (so-called ‘opt-in’). So without an opt-in, you are not allowed to send emails to prospects. Doing so can lead to complaints resulting in a possible fine. Our tips to prevent possible complaints: 1. Place a clear unsubscribe option in your mail. 2. In case of prospects, contact them by phone in advance to obtain permission to send an e-mail. 3. Choose your target group carefully and adapt your message to it as much as possible. 4. Do not send emails from a no-reply email address, but clearly state your company details as the sender.     The Databases Act has existed in the Netherlands since 1999. This law, introduced to implement the European Database Directive, gives the producer of a database an exclusive right to its exploitation. He can take action against anyone who takes over a substantial part of the database or systematically extracts or takes over non-substantial parts. To qualify for protection, the database must be the result of a substantial investment. Thus, anyone who invests money, time or effort in collecting data to create a database has a protected database. This therefore means that our database may not be copied in its entirety (or a substantial part of it) or resold to third parties.

    Since mid-2018, Ad Hoc Data has the Privacy Guarantee from DDMA. This ‘privacyproof hallmark’ indicates that a company respects privacy laws and rules when using data.   7. Cancel

    The licenses have a minimum term of one year. After that, your license is renewed monthly and can also be cancelled monthly. Termination of your license can be done in writing (by mail or e-mail) and with a notice period of 1 month. We will send you a confirmation of your cancellation by e-mail.
